Job Overview:

We are seeking a motivated and customer-focused Parts Coordinator to join our team. This position involves managing parts inventory, assisting customers, and coordinating with manufacturers and the corporate purchasing department. The ideal candidate will demonstrate strong communication skills, attention to detail, and the ability to work effectively in a fast-paced environment.
Key Responsibilities:

Customer Support & Service

  • Greet customers and answer calls in a professional and courteous manner.
  • Assist customers and service technicians in selecting appropriate parts.
  • Provide accurate quotes and detailed product information.
Procurement & Vendor Coordination
  • Collaborate with manufacturers and corporate purchasing to order parts efficiently.
  • Notify service personnel when special-ordered parts are received.
  • Track and follow up on back-ordered items.
Inventory Management
  • Pull, fill, and distribute customer orders from inventory accurately.
  • Monitor and replenish assigned inventory daily.
  • Report out-of-stock items or material shortages to management.
  • Maintain a clean, organized, and efficient inventory area aligned with company standards.
Communication & Coordination
  • Maintain clear, ongoing communication with the Service Department regarding parts status and availability.
  • Ensure a smooth flow of information between customers, vendors, and internal departments.
Other Duties
  • Perform additional tasks as assigned by the Service Manager or leadership team.
Requirements
  • Strong computer proficiency, including inventory software and office systems.
  • Prior experience in cash handling and customer transactions preferred.
  • Excellent communication, problem-solving, and listening skills.
  • Strong organizational and sequencing skills to manage multiple priorities.
  • Comfortable working weekends as needed.
  • Ability to multi-task and remain detail-oriented in a fast-paced environment.
Physical Requirements:
  • Ability to stand and walk for extended periods.
  • Lift, carry, bend, and reach for items weighing up to 50 lbs.
  • Navigate various warehouse or storage locations to access parts.
  • Perform physical tasks as part of daily workflow.
